Chief Financial Officer

The Museum of Arts & Sciences is seeking a Chief Financial Officer with a proven track record in enhancing financial performance, streamlining budget operations and reporting, fostering organizational growth, and utilizing modern solutions to create efficiencies and effectiveness.  The ideal candidate will embrace financial technology and understand how to onboard and implement modern financial systems; extensive understanding of non-profit financial management and reporting; and be an excellent partner to key staff members responsible for earned and contributed income.  The CFO will be a strong analyst reviewing existing returns on investment as well as future opportunities for the Museum; and be able to identify where improvements can be made to strengthen the financial health of the Museum.

Position Summary:

As the Chief Financial Officer, you will report to the Chief Executive Officer and work closely with other senior staff to implement the financial and operational aspects of the Museum of Arts & Sciences (“MOAS”) strategic vision. The successful candidate will be a strategic thinker who proactively recognizes financial and operational efficiency needs, anticipates issues and opportunities, and recommends value-added solutions. Additionally, the ideal candidate will embrace financial technology and understand how to onboard and implement modern financial systems.  Responsibilities will involve establishing and evolving MOAS's financial infrastructures and processes in support of building a more collaborative, impactful, and data-driven organization. The CFO will provide solutions to enable sustainable business practices, manage projects, and develop and implement new financial and operational processes.  The CFO will manage and oversee two staff members and the Information Technology contract and will be a member of the Senior Leadership Team

In addition to leading the financial organization, this role will also include some operational responsibilities that include:

  • Coordinating and contributing to development and execution of the overall strategy.
  • Implementing management processes and policies to ensure core operational functions are in place and working effectively to achieve business objectives and financial outcomes with specific focus on modernizing the finance department for a growing non-profit organization.
  • Working closely with the Development department to ensure proper reporting and analysis, stewardship, and governance.
  • Overseeing the technology organization, to ensure it is operational, resilient, and secure. Also collaborate with the operational team leaders regarding their proposed investments in technology to support the visitor experience.
  • Collaborating with the other operational leaders to assess overall business and operational capabilities and develop solutions that enable the organization to achieve its goals.

Principle Responsibilities:

Strategy and Leadership

  • Spearhead financial strategy and operations for an organization with an annual budget of $4-5 million.
  • Partner with leadership and other cross-functional team members to lead complex and/or large projects, ensure cross-collaboration and resourcing, and make recommendations to project trajectory as necessary. Proactively maintains existing relationships and develops new relationships with internal and external business partners and vendors.
  • Liaise with and/or manage advisors, vendors and partners (including museum partner relationships, accountants, consultants, and systems and technology service providers) and proactively coordinate with all to ensure that needs and objectives are delivered.
  • Deliver well thought-out financial analyses, modeling, projections and ad hoc analyses / projects / initiatives to all stakeholders and the Board of Directors.
  • Provide vision, direction, and leadership to the finance team. Build a high performing team that can support the growth of MOAS. Act as a player-coach, managing direct reports, as well as mentoring and coaching staff at various levels.

Financial Reporting and Analytics

  • Contributes to the implementation of overall strategy and direction by:
  • analyzing business objectives and departmental needs of each vertical component of the business.

  • Working in partnership with the CEO, lead the annual budget planning process, including development of an annual operating budget and implementation of key organization-wide strategic objectives.
  • Provide monthly operating budget-to-actual reports, with supporting explanatory narratives, help develop and manage spending forecasts; strategically interpret financial information and data to facilitate decision making.
  • Ensure properly functioning internal control environment over the receipt and disbursement of cash.
  • Oversee the annual audit.
  • Work in concert with the head of the Investment Committee regarding the museum’s endowment.

Systems Implementation

  • Research, identify, onboard, and lead the implementation, development and staff training of a new financial reporting system ensuring a successful integration with existing software systems to create robust, timely, and accurate reporting and analytics.
  • Work closely with Senior Team members and the technology team on the roll-out of new technology systems.
  • Identify and advocate for future software solutions that support growth, team accountability and visibility to the organization’s numbers.

Supervisory Responsibilities

  • Oversee and manage the Finance Department’s two full time employees including an Accounts Manager and Finance & Operations Associate
  • Oversee and manage the Museum’s Information Technology vendor contract and all related decisions and investments in technology.
  • Prepare for and attend monthly Board Finance Committee meetings.
  • Liaison with the Museum’s investment partners.

Requirements:

  • Bachelors or masters degree in accounting, or relevant field
  • 10+ years' experience in strategic planning, finance/budgeting, and operations
  • Extensive understanding of non-profit financial management and reporting
  • Significant experience in systems implementation
  • Understanding and ability to lead the vendor bidding process, selection, and management.
  • Experience creating business plans that identify the return on investment.
  • Experience working with capital projects.
  • Excellent project management skills and structured thinking skills
  • Proven ability to lead and develop teams.
  • Excellent written and verbal communication skills
  • Attention to detail with a high degree of accuracy.
  • Must embrace technology as a critical tool for success.
  • Knowledge of Financial Edge and Altru or demonstrated comfort with learning and utilizing software systems key to success in this position.

Director of Programs 

MOAS is looking for a candidate to fill our Director of Programs role. This is a senior leadership position overseeing all aspects of educational programming for youth, families and adult audiences and our growing rental sales program. This candidate must have a strong strategic approach when setting and assessing the programming slate, collaborative nature with all departments, project management skills and attention to detail, creativity and innovation with approach to developing programs and its offerings. This position will be slated for a start date of July 17th, 2024.

Position Summary:

The purpose of this position is to oversee and bridge the gap through collaboration and mission in all MOAS Programming. As a part of the leadership team, Director of Programs will develop and implement programming initiatives and strategies with the Education Department as well as overseeing the Rentals Program. Duties will include leadership of creating diverse slate of programming to foster audience engagement, ensuring mission and goals are considered in strategy for annual programming, and keeping up with industry trends in processes and policies for education and rental programs. 

Duties and Responsibilities

Strategy/Leadership

  • Lead all programming brainstorming sessions as they relate to exhibitions, collections, and other initiatives throughout the Museum.

  • Consider all ideas and develop a slate of programs that are diverse, unique, mission-focused, and experience-laden; be the bridge between all departments when it comes to programming activation strategies.

  • Provide structure, planning, coordination, guidance and follow up as it relates to final decision-making of programming plans and strategies.

  • Prepares, develops, and oversees implementation of the departmental budget.

  • Active member of the Senior Leadership team ensuring Strategic Plan assignments are fulfilled and participating in other planning initiatives including Master Campus, Branding, and Interpretive Plans.

Public Programming

  • Bring the Museum’s programming initiatives under one umbrella that focuses on guest experience, quality, connection, and organizational mission.  

  • Bridge the gap between the events department and the education department to create meaningful, impactful experiences that provide educational content.

  • Collaborates with the Marketing Department to develop and implement long-range marketing plans for events.

  • Collaborates with the Development Department to plan the Museum’s Annual Fundraiser and Annual Meeting.

Education

  • Manage Education Team and the planning, implementation, execution, and assessment of all programs.  

  • Understand what educational programming looks like in a museum and ensure that it is executed within the decisions made by the Education Team

  • Focus on Audience Engagement and Development through the main pillars of education:  Adult, Youth/Family, School

  • Participate with the Education and Curatorial Teams to design interpretation strategies as required

Rental Program

  • Oversee rental department and develop, evaluate, and execute new strategies to stay in line with best practices to meet program goals.

  • Work with rental department to answer incoming rental inquiries, calls, event supervision, staffing and staff schedules.

  • Evaluate annual processes and procedures, contracts, vendors and policies as it relates to the rental program.

Supervision

  • Supervise 2 full time managers for Rental Department and Education Department

  • Conduct annual merit evaluations for direct reports.

  • Acts as hiring manager for open positions in programming department.

Skills

  • Collaborative, work with senior team and curatorial department to meet strategic planning goals.

Qualifications

  • Bachelor’s degree in a related field or specialized training in event management fields. 

  • Experience with project management skills, including creating and managing budgets.

  • Proficient in Blackbaud Altru system.

  • This position will require the employee to work some, evenings, and/or weekends to fulfill the position’s objectives. Schedule adjustments are offered to allow the employee to maintain a 40hr work week as closely as possible.

Guest Relations Associate

Position Summary:

The Guest Relations Associate ensures that all visitors are attended to on a timely basis and are given proper instructions to enhance their visit to the Museum. She/he operates the Point of Sale system and is responsible for the safe and accurate handling of cash, credit cards and all forms of payment at front desk, gift shop and after hour museum programming. The Guest Relations Associate is expected to work some holidays, evenings, and weekends.

Principle Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable qualified individuals to perform the essential functions. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand, walk, use hands to finger, handle or feel, and reach with hands and arms.

The Guest Relations Associate is primarily responsible for the operation of the Admission Desk and Gift Shop while ensuring that financial documentation is prepared and submitted on a timely basis.

 

  • Ensures the efficient and friendly admission of Museum visitors and vendors.
  • Assist volunteers when needed.
  • Process tickets at events and advance sales over the phone.
  • Process retail and food/beverage sales in gift shop and/or at ticketed MOAS events.
  • Process and direct all business visitors and calls to the proper staff.
  • Work with the Guest Relations Coordinator to ensure the clear understanding of information at the admissions desk necessary to answer visitor questions and phone calls.
  • Close and balance Point of Sale systems daily
  • Maintain and distribute reports as assigned by the Guest Relations Coordinator.
  • Responsible for additional duties as may be assigned by the Guest Relations Coordinator and or Director of Operations.

Preparation and Knowledge:

  • Education: High School Diploma/ GED
  • Minimum of two years of experience in customer service and or retail

  • Must have the ability to handle competing/multiple functions.
