Accounts Payable & Payroll Specialist

Location: Daytona Beach, FL 
Employee Type: Full Time 

Reports to: Chief Financial Officer

Hourly Rate: $19 to $21.63

 

Position Summary 

The Accounts Payable and Payroll Specialist is responsible in supporting key financial activities of the Museum. This position entails managing accounts payable, payroll processing, vendor verification and office supply procurement. The Accounts Payable and Payroll Specialist is also responsible for maintaining accurate financial records, ensuring compliance with regulations, and optimizing efficiency. Strong accounting skills, proficiency in relevant software tools, excellent interpersonal abilities and a commitment to organization values are essential for the success in this role.

 

Key Responsibilities 

Finance:

  • Accounts Payable, process daily payment requests from all departments, charging expenses to proper accounts.
  • Schedule and prepare check and ACH payments.
  • Verify vendor accounts, reconcile monthly statements.
  • Prepare and file annual form 1099/1096.
  • Assist with annual budget preparations.
  • Assist with annual financial audit by CPA firm.
  • Prepares deposits, and takes them to the bank.
  • Orders and maintains office supplies. Maintains copier service and supplies.
  • Other duties as assigned by the CFO.

Human Resources:

  • Process and verify bi-weekly payroll including payroll deductions and benefits.
  • Prepare payroll journal entries.
  • Supports COO to pull reports needed for licenses, benefits or other HR functions.

Special Considerations 

  • May be required to sit for long periods of time. 
  • Able to look at a screen for extended periods of time. 
  • May be called upon to carry or move up to 50 pounds at time.
  • Able to work well under pressure. 
  • May be required to work nights, weekends, or holidays. 
  • Travel may be required.

Other duties 

  • Perform other job-related duties as assigned. 

 

Desired Qualifications 

  • Bachelor’s degree in accounting or finance.  
  • 2-4 years of experience in Accounts Payable and Payroll. 
  • Proficiency in accounting software.
  • Proficiency in payroll/HR software.

 

Required Qualifications 

  • Associates degree or equivalent experience. 
  • Strong organizational skills and attention to details. 
  • Ability to learn new technology such as Sage Intacct and Rippling. 
  • Minimum experience of 1 year in accounting, finance and/or payroll.
