Salary:                         $46,847

 

Position Summary:

The Rentals Manager is responsible for managing the rental program held at the Museum facilities, with a strong emphasis and focus on weddings and private rentals. The position will require the employee to work some holidays, evenings, and weekends to fulfill the position’s objectives. Schedule adjustments are offered to allow the employee to maintain a regular 40hr work week as closely as possible.

 

Principle Responsibilities:

Management

  • Manage (1) direct report. Oversee Event Coordinators schedule, training, and delegation of duties.
  • Management of rental contractors (cleaners, security, coordinator, bartenders etc.)
  • Manage Honey Book database and rental payments.
  • Work with vendors and contractors to ensure contracts and facility guidelines are followed.
  • Assist the Advancement department with the creation of marketing campaigns as it pertains to the rentals department.
  • Prepare and deliver financial reports to Finance, including inventory, expenses, and revenue.
  • Assist the Director of Operations with creating and maintaining the annual department budget.
  • Maintain detailed alcohol and asset inventory.

 

Customer Service

  • Complete rental agreements with each client. Adhere to all MOAS policies and uphold rental agreements.
  • Greet clients and inform them of policies, procedures, and all pertinent information to make each rental seamless.

 

Outside Rentals

  • Prepare rental properties for clients and ensure the campus always looks its best and is Museum ready.
  • Ensure facilities are clean, and the set up and break-down are completed as agreed.
  • Serve as event staff contact, ensure contractual agreements are met and work to delegate duties to others as needed.
  • Ensure the safety and privacy of events by monitoring the rental space.
  • Proactively solve problems as they arise.
  • Work with the Facilities Dept. to close out at the end of each rental and ensure all rental equipment is maintained and housed properly.
  • Notify the Director of Operations in case of an emergency or problem with the event, the client and/or the facility.

 

MOAS Events

  • Assist internal MOAS departments with the bar and catering portion of their events.
  • Other duties as assigned by the Director of Operations or the Executive Director.

 

Qualifications

  • Specialized training in events or equivalent work experience
  • Proficiency in Microsoft Office 365 Suite
  • Database management experience
  • Excellent verbal and written communications skills
  • Excellent customer service and interpersonal skills
  • Ability to present information concisely and effectively, both verbally and in writing
  • Ability to organize, prioritize work, and problem solve
  • Ability to work independently with little supervision
  • Ability to work as part of a team
  • Excellent interpersonal skills, enthusiastic, personable, and outgoing
  • Ability to be flexible and adapt to change

 

Preferred Qualifications

  • Specialized training in rental event and non-profit administration preferred

 

Working Conditions & Physical Demands 

While performing the duties of this job, the employee is regularly required to talk and hear.  The employee frequently is required to stand for extended periods of time, walk long distances, use hands to finger, handle or feel, and reach with hands and arms. Event setup and breakdown may occasionally require lifting 40+ lbs.
